Successful migration from Notes to Exchange / Outlook

By using MS Teams, 1,500 IBM Notes mailboxes were successfully migrated to Exchange/Outlook online without the need for time-consuming on-site appointments

After a project duration of 12 months, 1,500 mailboxes were successfully migrated from IBM Notes to Exchange/Outlook online at the beginning of June 2019. Going live with Outlook online for all employees on a weekend was a challenge. Volker Jacobs, Team Leader at Stadtreinigung Hamburg, says that this was overcome and the project made a swift success ‘thanks to the extraordinary skill in planning and setting up the email routing and transferring data in advance, and thanks to edcom’s extensive expertise’.

Stadtreinigung is Hamburg’s largest and leading service provider in waste and resource management. With more than 3,200 employees, it is a full-service partner in the public, commercial and private sectors, offering waste disposal, recycling collection and cleaning services from a single source. As a public waste management authority and certified waste management specialist, Stadtreinigung collects, transports, stores, treats and recycles waste from about 970,000 households and 100,000 commercial enterprises in Hamburg.

Online migration in just a few months with perfect planning and mail routing

Stadtreinigung Hamburg cleans more than 5,800 kilometres of roadways and 3,200 kilometres of pavements in the economic powerhouse of Hamburg each week.

Out of its 3,200 employees, 1,500 were affected by a company decision to move to Exchange/Outlook. Long-time users of IBM Notes, using the latest version 9.01, were due to switch to Exchange/Outlook.

Stadtreinigung Hamburg contacted its long-standing service provider edcom / TIMETOACT GROUP from Munich, which had supported it as an IBM Business Partner with services in the IBM Domino Notes environment for many years.

After a project duration of 12 months, 1,500 mailboxes were successfully migrated from IBM Notes to Exchange/Outlook online at the beginning of June 2019. Volker Jakobs, Team Leader at Stadtreinigung Hamburg, explains the project’s success:

On-site-training and videos providing lasting support

The migration project also included appropriate training measures, which edcom carried out as well. These included on-site training for all migrated employees and the creation of training videos on all key topics for Outlook users. These video units were well received, and users continue to watch them afterwards.

Project success thanks to many years of close cooperation with edcom

Many years of working closely with edcom proved to be a huge benefit. It should be emphasized here that throughout the project, only the kick-off and go-live meetings took place on site. All other meetings were held online using Microsoft Teams.

As usual, the on-site employee training sessions were fully planned out, professionally delivered and received excellent feedback. The service included creating Outlook training videos in advance, which continue to be regularly watched even now post-migration.
